Deliverables

Delivery of all documents is by digital means via email, whenever possible. Our report to you will be sent as a PDF file. Copies of original documents will be from electronic scans produced by the National Archives or other service providers or digital photographs of originals.

Printed versions of our reports can be produced, for an additional fee. If this is of interest please ask when we email a confirmation of order to you.

Fees

The maximum fee is £140 and includes all delivery charges, if any. Please note that under conditions which apply to most projects our final actual fee will be lower (see below).

Fee reductions

Our fee will be reduced below the maximum in cases where a soldier cannot be identified or where gaps remain in the soldier’s story due to absence of documents or meagre information contained on those to that do exist.

Our service fees fall into three clear categories:

1. Fixed fee of £30

In the event of us being unable to make a unique identification (typically where the subject’s regiment and number is not known, no service records exist and there is more than one candidate in the medals index).

2. Fixed fee of £40

In the worst case scenario, when the service record cannot be found (which applies to at least two thirds of all searches) and, typically, when a soldier served in one of the large Corps (artillery, engineers etc), where medal rolls are uninformative.

3. Variable fee from £50 to £140

i. When the service record cannot be found but we can reconstruct the  story as far as possible from details found in other sources.

ii. When the service record is found but is badly damaged, illegible or where pages or important information is missing.

These scenarios will trigger a reduction in the fee, by a value depending on findings and how complex it is to determine the story of the soldier’s service.

Payment

We do not demand any advance payment (although a deposit is required from clients residing outside the UK). We send an invoice to our clients when we deliver the results. The Client will pay within 7 days of the date of invoice. Fees once paid are not refundable for any reason.

Our invoice will give full instructions on how to pay for the work performed. Our transactions are in Pounds Sterling. We can accept payment by cheque (UK banks), direct payment via internet/phone banking, or credit or debit card (online) via Paypal. We’ll give you details of how to do that at the appropriate time.

A fixed charge of 2.5% will be added to our invoice for those clients wishing to pay by credit/debit card or PayPal. This charge covers the fee imposed by the relevant card companies.

Cancellation

Cancellation is by email only and at no cost up to the point where the confirmation is sent to you. The performance of our services commences immediately on us sending an acknowledgement email. Cancellation thereafter for any cause will incur a fixed fee of £40, which will be invoiced to you by email and is payable on presentation.

Copyright

Our report and all of its contents are our copyright, as are digital photographs that we take of original documents. If we incorporate documents from our own archive to illustrate your report, these documents also remain as our copyright but you are given a free licence to reproduce them for any non-commercial purpose. We may use information discovered during the project for use on this website or any other websites belonging to Great War Discovery.
